How to reactivate cold leads
Re-engage dormant CRM leads by finding what changed at their company, rather than sending a generic check-in. Runs continuously as circumstances shift.
Lead reactivation re-engages dormant leads already sitting in your CRM. Alice analyses opportunity history, engagement data, and current signals such as job changes or funding rounds, then targets the leads whose circumstances have shifted - rather than attempting blanket reactivation of everyone who ever went cold.
The difference between this and a "just checking in" email is the trigger. You are not re-contacting because time passed. You are re-contacting because something happened at their company that makes the conversation relevant again.
Who this is for
| Team | Why they run it |
|---|---|
| Revenue leaders | Closing a pipeline gap without new spend |
| Marketing | Recovering value from lead generation already paid for |
| RevOps | Making the dormant database an operating asset rather than storage |
Step 1 - Identify who is worth re-engaging
Alice uses three inputs together:
- Opportunity history - how far they got, and what happened
- Engagement data - what they previously responded to
- Current signals - job changes, funding rounds, hiring, tech shifts
Do not reactivate the whole dormant database. Leads that went cold and where nothing has changed are still cold, and contacting them at volume damages sending reputation for no return. Require a signal.
Step 2 - Build outreach around the change
Alice researches what changed and builds the message around it. Examples of what she works from:
- The company posted job openings in a relevant function
- Leadership shared content on a problem you solve
- Funding closed, so budget exists that did not before
- The person changed roles, internally or elsewhere
A lead who moved to a new company is often two opportunities: the person at their new employer, and their replacement at the old one. Both are warm in different ways.
Step 3 - Configure
Set the dormancy window
How long since last engagement before a lead qualifies. Start conservative and widen.
Require a signal, not just age

Apply standard exclusions
Customers, open opportunities, owned accounts, opt-outs.
Run multi-channel
Email and social, with follow-ups that adapt based on engagement.
Let it run continuously
The play cycles through the database as circumstances shift, rather than running once as a batch.
